This Privacy Policy explains how Sobi Realty, LLC d/b/a Trim Property Taxes (“Trim Property Taxes,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects information when you visit our website, create an account, use our dashboard, purchase a product, answer questionnaires, upload property records, communicate with us, or use related services.

Please do not upload unnecessary sensitive information.Property-tax filings and supporting records may become public records. Do not submit Social Security numbers, complete bank or payment-card numbers, account passwords, medical records, or other highly sensitive information unless we specifically request it through a secure method and it is necessary for the service.

1. Who We Are and Scope

Trim Property Taxes provides technology-enabled property-tax information, administrative support, document organization, report generation, and related services. This Policy applies to information handled through our website, customer portal, communications, questionnaires, document-upload tools, and associated systems.

This Policy does not govern a separately retained attorney, law firm, appraiser, government agency, payment processor, or other third party that has its own privacy notice. Sobi Realty, LLC is not a law firm, and use of our website does not create an attorney-client relationship.

2. Information We Collect

Information you provide

  • Contact and account information, such as your name, mailing address, email address, telephone number, login credentials, and communication preferences.
  • Property information, such as a property address, parcel or folio number, ownership information, property type, occupancy, unit count, sales, leases, rents, income and expense information, condition details, improvements, damage, photographs, and supporting records.
  • Questionnaire responses, appeal objectives, explanations, comments, signatures, authorizations, and acknowledgments.
  • Documents and files you upload, including TRIM notices, tax bills, deeds, leases, photographs, estimates, invoices, permits, correspondence, reports, and filing confirmations.
  • Transaction and service information, such as purchased products, order status, cancellation requests, delivery preferences, and records showing acceptance of policies.
  • Communications with us through email, telephone, forms, portal messages, surveys, or customer-support channels.

Information collected automatically

When you use the site or portal, we and our service providers may collect device and usage information, including IP address, browser type, operating system, device identifiers, referring pages, pages viewed, session activity, dates and times, approximate location derived from IP address, cookie identifiers, error logs, and security events.

Public-record and third-party information

We may obtain information from property appraisers, tax collectors, clerks, value adjustment boards, county or municipal records, permitting databases, multiple-listing or market-data sources where lawfully available, mapping services, vendors, and other public or licensed data sources.

3. Sources of Information

We collect information directly from you or your authorized representative; automatically from your device and use of our systems; from public records; from vendors and service providers; and from other people or organizations involved with the property or service when they are authorized to provide it.

You are responsible for having authority to submit information about co-owners, tenants, agents, employees, contractors, or other individuals. Please provide them with any notice required by applicable law.

4. How We Use Information

We may use information to:

  • Create and manage accounts, verify identity or authority, and authenticate access.
  • Process purchases, provide requested services, generate reports or forms, organize evidence, and maintain the customer dashboard.
  • Locate and match property records, evaluate questionnaire answers, identify possible inconsistencies, and produce informational or analytical outputs.
  • Communicate about orders, service status, missing information, filing reminders, deadlines, hearings, policy updates, and customer support.
  • Provide physical copies when ordered and arrange shipping and handling.
  • Operate, maintain, troubleshoot, test, secure, and improve our website, platform, workflows, and customer experience.
  • Detect fraud, abuse, security threats, prohibited activity, or violations of our Terms of Use.
  • Comply with law, enforce agreements, respond to legal process, preserve records, and establish or defend legal claims.
  • Create aggregated or deidentified information that is not reasonably linked to an identifiable person and use it for analytics, service improvement, and business planning.

We will not use customer-uploaded documents or questionnaire answers to train a generally available artificial-intelligence model unless we provide a separate disclosure and obtain any consent required by law.

5. APIs and Automated Processing

Our platform uses designed application programming interfaces (“APIs”), rules-based logic, document-generation tools, and other automated systems to retrieve or organize data, identify potential issues, calculate estimates, generate questions, and prepare reports or forms. Automated outputs may be incomplete, delayed, outdated, mismatched, or inaccurate because source records and third-party systems can contain errors or change without notice.

We may use information you provide, public-record data, and system activity to operate these automated functions. Significant property, filing, financial, or legal decisions should not be based solely on an automated output. You must review generated information for accuracy.

6. How We Disclose Information

We may disclose information to the following categories of recipients for the purposes described in this Policy:

  • Service providers: hosting, cloud storage, software, customer support, communications, analytics, security, document generation, electronic signature, printing, shipping, and professional advisers that process information for us.
  • Payment processors: to authorize payments, prevent fraud, issue refunds when applicable, and maintain transaction records.
  • Government agencies and filing systems: when you direct or authorize us to prepare, transmit, or support a filing, or when disclosure is required by law.
  • Commercial or professional service providers: when necessary to provide a separately purchased service or when you direct us to share information.
  • Legal and safety recipients: courts, regulators, law enforcement, insurers, advisers, or other parties when reasonably necessary to comply with law, protect rights or safety, investigate fraud, or respond to legal process.
  • Business transaction recipients: a buyer, investor, lender, insurer, auditor, or successor in connection with a merger, financing, sale, reorganization, or transfer of some or all business assets, subject to appropriate protections.

We do not disclose personal information to third parties for their independent marketing merely because you purchase a Trim Property Taxes service. We do not sell personal information for monetary payment. Certain privacy laws may define “sale” or “sharing” more broadly; where such laws apply, we will provide required notices and choices.

7. Payment Information

Payments are processed through third-party payment processors. We generally receive transaction details—such as payment status, amount, date, order identifier, and limited card information—but not your complete payment-card number or security code. The payment processor’s privacy policy and security practices also apply to the information it handles.

8. Cookies, Session Technologies, and Analytics

We and our service providers may use cookies, local storage, pixels, session identifiers, and similar technologies to keep you signed in, preserve questionnaire progress, remember preferences, support checkout, understand site usage, detect errors, and protect the platform.

You may manage certain cookies through browser settings or any cookie controls made available on the site. Blocking essential cookies may prevent account, questionnaire, dashboard, or checkout functions from working correctly. Browser “Do Not Track” signals are not interpreted uniformly; we respond to legally recognized opt-out signals where required.

9. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain accounts and generated documents, complete transactions, satisfy recordkeeping requirements, resolve disputes, enforce agreements, prevent fraud, and comply with law. Retention periods vary based on the type of information, the status of the account or order, legal requirements, and operational needs.

Deletion requests may not result in immediate deletion from backups, legal holds, transaction records, public filings, or records we must preserve. Information already submitted to a government agency or made part of a public record is controlled by that agency and may not be removable by us.

10. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No website, transmission, storage system, API, or security measure is completely secure, and we cannot guarantee absolute security.

You are responsible for protecting your login credentials, using a strong unique password, limiting access to your email and devices, and promptly notifying us of suspected unauthorized access. Do not send complete payment-card numbers, account passwords, or Social Security numbers through ordinary email or portal messages.

11. Your Choices and Privacy Rights

You may update certain account information through the portal or contact us to request access, correction, deletion, or a copy of personal information associated with your account. Depending on your residence and applicable law, you may have additional rights, such as the right to opt out of certain processing, appeal a request decision, or limit use of sensitive information.

To submit a privacy request, email support@trimpropertytaxes.com with the subject line “Privacy Request” or write to the address below. We may verify your identity and authority before acting. We may deny or limit a request where permitted by law, including when information must be retained for transactions, security, fraud prevention, legal compliance, public records, or legal claims.

You may designate an authorized agent where permitted by law. We may require proof of the agent’s authority and direct verification from you. We will not discriminate against you for exercising an applicable privacy right.

You may unsubscribe from promotional email using the link in the message. Service, security, transaction, deadline, and account communications may continue while your account or order remains active.

12. Children’s Privacy

Our services are intended for adults and are not directed to children. You must be at least 18 years old to create an account or purchase a service. We do not knowingly collect personal information directly from children under 13. Contact us if you believe a child has submitted personal information without appropriate authorization.

13. Third-Party Sites and Services

Our site may link to government portals, payment processors, mapping services, electronic-signature tools, shipping providers, or other third-party websites and services. Their privacy practices are governed by their own policies. We are not responsible for the privacy, security, availability, or content of third-party systems.

14. Changes to This Policy

We may update this Privacy Policy to reflect changes in our services, technology, vendors, or legal obligations. The updated version will display a revised effective date. When required, we will provide additional notice or request consent before materially changing how previously collected information is used.
